Summary

We are seeking a dedicated and organized HR Officer to join our growing team at Uncommon. The HR Officer will provide comprehensive HR support across all our operations, managing employee records, coordinating recruitment processes, supporting professional development, and ensuring compliance with Zimbabwean employment legislation.

This role is ideal for someone passionate about supporting organizational growth and creating a positive workplace culture that enables our team to deliver impact in youth technology education across Zimbabwe.

Key Responsibilities

1. Employee Records & Administration
  • Maintain accurate and confidential employee records, including contracts, performance evaluations, and leave documentation.
  • Process payroll administration and ensure timely salary payments.
  • Manage employee benefits, statutory deductions, and compliance with tax requirements.
  • Coordinate annual leave scheduling and attendance tracking across all hubs.
2. Recruitment & Onboarding
  • Support the recruitment process by screening applications and coordinating interviews.
  • Prepare employment contracts and manage the onboarding process for new hires.
  • Conduct new employee inductions and orientation programmes.
  • Maintain job descriptions and recruitment timelines.
3. HR Compliance & Governance
  • Ensure compliance with Zimbabwean employment laws and regulations.
  • Maintain HR policies and procedures documentation.
  • Support disciplinary processes and employee disputes in accordance with policy.
  • Prepare HR reports and documentation for audits and organizational reviews.
4. Employee Relations & Support
  • Respond to employee queries and provide HR support.
  • Support workplace conflict resolution and mediation.
  • Coordinate professional development opportunities and training programmes.
  • Foster a positive workplace culture and employee engagement.
5. HR Systems & Reporting
  • Manage HR management systems and databases.
  • Produce HR reports including staffing, turnover, and performance data.
  • Support strategic HR planning and workforce analysis.
  • Maintain confidentiality and data protection standards.

Key Qualifications

  • Bachelor's Degree in Human Resources, Business Administration, or a related field.
  • Minimum of 2–3 years' experience in HR administration or a similar role.
  • Strong knowledge of Zimbabwean employment legislation and labour law.
  • Excellent organizational and administrative skills.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office and HR management systems.
  • Ability to maintain confidentiality and handle sensitive information.
  • Experience in recruitment coordination (desirable).
  • Experience with payroll administration (desirable).
  • Exposure to Belina payroll system (desirable).
  • Experience working within NGO, education, or youth development sectors (desirable).
  • Proficiency in HRIS or HR database systems (desirable).

Performance Metrics (KPIs)

  • Employee records maintained accurately and securely with 100% compliance.
  • Recruitment processes supported efficiently with timely candidate screening and interview coordination.
  • New employee onboarding completed within agreed timelines for all hires.
  • HR compliance maintained with zero statutory violations.
  • Employee queries resolved promptly with documented response times.
  • Monthly HR reports produced and shared with management.

90-Day Success Plan

By the end of 90 days, the HR Officer will have:

  • Completed a comprehensive audit of employee records and ensured all documentation is accurate and up to date.
  • Implemented or improved HR systems for employee record management and data security.
  • Supported the completion of at least one full recruitment cycle from application to onboarding.
  • Developed or updated key HR policies and procedures documentation.
  • Established regular communication channels with employees across all hubs and responded to initial queries and concerns.
  • Produced the first monthly HR report and identified key HR metrics to track.
